This notice explains how EmpowerIQ processes audio recordings of tutoring sessions and the AI-generated reports created from them. It applies in addition to our general privacy policy and is governed by UK GDPR and the Data Protection Act 2018.
With your consent, the audio of a tutoring session may be captured from the tutor's device (microphone) for the duration of the lesson. We do not record video. Tutor notes, lesson tags and uploaded student work may be captured alongside the audio.
Audio is transcribed in chunks and analysed by large language models operated by trusted AI providers via Lovable AI. Outputs include tutor reports, parent-facing summaries, homework suggestions and progress signals. Outputs are reviewed before being shared with parents.
All access to recordings is logged in an immutable audit trail.
Audio recordings are retained only until the tutor approves the lesson report. As soon as approval is given, the original audio file is permanently deleted from storage and is not recoverable. A short audit-log entry (recording ID, student, tutor, approval timestamp, deletion timestamp) is kept for compliance and troubleshooting — the audio itself is not.
Transcripts and AI-generated reports (parent report, tutor report, AI summaries, homework recommendations and progress metrics) are retained indefinitely unless deleted on request, so that long-term progress can be tracked. Consent records are retained for the period required by data-protection law.
Parents can request earlier deletion of specific recordings, or of all data relating to their child, at any time. Contact your tutor in-app, or email privacy@empower-iq.co.uk.
You can withdraw consent at any time from Parent Portal → Settings → Recording consent. Once withdrawn, no further sessions for your child will be recorded. Existing reports remain available; existing recordings are handled in line with the retention policy above.
EmpowerIQ acts as a processor on behalf of the tutor or organisation providing tuition. Lawful basis for processing under UK GDPR Article 6(1)(a) (consent) and Article 9(2)(a) where special-category data is involved.
